Prostate Cymru, Wales’s leading prostate health charity, is looking to hire an Events Officer to join the team in Cardiff. The main objectives of the charity focuses around generating awareness and improving prostate health services for men in Wales.
Every 45 minutes a male in the UK dies of Prostate Cancer, making it one of the most diagnosed diseases.
The charity is 20 years old this year (2023) and throughout its history has been able to fund specialist equipment, medical staff, research projects and awareness marketing campaigns.
Receiving no public funding means the charity is reliant on income from supporters and has developed a strong fundraiser following. Prostate Cymru also hosts a number of its own annual fundraiser events, enabling income generation for the ongoing funding of key projects.
Prostate Cymru is looking for an enthusiastic Events Officer, to join its friendly and thriving team. The role will specifically focus on coordinating and developing the sporting and community arm of the charity.

About the role:
The role of Events Officer provides an exciting opportunity for an individual to further develop a career in the charity events sector. Day-day tasks will be varied and rewarding, with the chosen candidate very much at the heart of the action, working on several established fundraising events.
SKILLS & EXPERIENCE
• Experience working in the event and/or charity sector
• Strong communication skills – verbal, written & confident networker
• Strong IT Skills
• Ability to manage and prioritise multiple tasks
• Excellent organisation and time management
• Experience developing project plans, ideally related to events
• UK Drivers License

• Manage all administrative processes in delivering internal Community, Sporting and Corporate Events
• Liase with all stakeholders, e.g friendship groups, corporate partners and volunteers to support internal events
• Supplier sourcing and booking
• Database management

• Identify fundraiser networking opportunities
• Admistrative supports (phone, event items)
• Raffle, auction and games
Responsibilities
• Sourcing, booking/ordering, negotiating and developing relationships with external suppliers
• Budget management and price negotiation
• Database management – guest lists, RSVP information, seating plans
• Overseeing the development and implementation of event plans and schedules ensuring deadlines are met
• Establishing effective event staff plans including volunteers
• Understanding and working on required health and safety documentation
• Building and implementing event recruitment plans that are reflective of financial targets, where necessary developing appropriate marketing materials
• Working on fundraiser communication plans, ensuring releveant information is communicated to guests, fundraisers in a timely manner
• On the day event management and implementation of production plans
• Fundraiser relations – developing rapport with key fundraisers
• Use of event technology – registration system, databases
• Packing an take down of event items
• General administration tasks – phone lines, meeting notes, organisation and stock checking of fundraiser stationary
• Support PC team at other charity and community events
• Put together fundraising boxes containing relevant items
• Sourcing, logging and distributing raffle and auction prizes
• Keeping well-informed on charity event trends, news and technology
• Contributing to wider team meetings
• Ad hoc tasks
